1. Data Controller
The controller of personal data is AD Awards Arkadiusz Szustak (VAT PL6912512359), Legnica, Poland (the "Controller"). For data matters: agent@callbuddy.ai.
2. Data we process
In connection with your use of CallBuddy.AI we process:
- →Account data: name, email address, phone number, company name;
- →Conversation data: call recordings (if enabled), transcripts, message content (phone, WhatsApp, email), caller numbers, date, time and call duration;
- →Payment data: handled by Stripe — we do not store full card numbers;
- →Technical data: IP address, country, device type, on-site interaction data (analytics).
3. Purposes and legal bases
- →Providing the Service — Art. 6(1)(b) GDPR (performance of a contract);
- →Billing and accounting — Art. 6(1)(c) (legal obligation);
- →Security, abuse prevention and improving AI agent quality — Art. 6(1)(f) (legitimate interest);
- →Marketing — only with consent, Art. 6(1)(a).
4. Call recording
Recording is optional and controlled by the Client. When enabled, the agent discloses that the caller is speaking with an AI and that the call is recorded. As the controller of caller data, the Client is responsible for establishing the appropriate legal basis (incl. consent); CallBuddy.AI then acts as a processor.
5. Recipients (processors)
We use vetted providers that process data solely on our documented instructions:
- →ElevenLabs — AI voice engine and conversation processing;
- →Google — large language model (LLM) powering agent logic;
- →Zadarma — telephony (numbers, call termination, SMS);
- →Stripe — payments;
- →Clerk — account authentication;
- →Vercel — application hosting.
6. Transfers outside the EEA
We process data within the European Union. Where a provider processes data outside the European Economic Area, this is based on Standard Contractual Clauses (SCC) or a European Commission adequacy decision.
7. Retention
- →Account data — for the term of the contract and up to 3 years afterwards (legal claims);
- →Recordings and transcripts — per the Client's settings, with deletion available on request;
- →Billing data — 5 years (tax law).
8. Your rights
You have the right to: access, rectification, erasure, restriction of processing, data portability, objection, and withdrawal of consent at any time. You may also lodge a complaint with a supervisory authority. Send requests to agent@callbuddy.ai.
9. Cookies
We use cookies strictly necessary for the site to function and — with consent — analytics and marketing cookies. You can change your consent in your browser settings.
